3. Data categories - origin and use
Categories of processed data particularly include master data (first name, last name, name affixes, title, nationality, date and place of birth etc.), if applicable details of the legal representative. Here also special categories of personal data may be addressed, e. g. passport or other identification data. We generally receive your personal data directly from you in the context of the registration for the event and proccessing for access to the GSI campus and relevant departments and laboratories.


4. Legal bases and purposes of the data processing
We process your personal data in compliance with the provisions of the General Data Protection Regulation (GDPR), the new German Federal Data Protection Act (FDPA) as well as all other applicable law (BetrVG [Works Constitution Act], SchwerbG [Disabilities Act] etc.).
The data collection and processing primarily serve the execution of the access to FAIR/GSI GmbH. Here, the predominant legal basis is Art.
6 (1) (b) GDPR in conjunction with § 26 (1) FDPA.
As far as necessary we also process your data on basis of Art 6 (1) (f) in order to preserve our or third parties’ (e. g. authorities) legitimate interests. This especially applies for the investigation of crimes (legal basis § 26 (1) (2), the internal communication and other administrative purposes.
Due to the European anti-terror regulations 2580/2001 and 881/2002 we are obliged to compare your data with the so-called “EU terror lists”, in order to guarantee that no money or other economic resources shall be provided for terrorist purposes.
In case we want to process your personal data for any purpose not mentioned above we will inform you about that in advance.


5. Data access
Within our company, only those persons and units (e. g. personnel department, works council, board of disabled persons, board of equal opportunities, executives) will receive your personal data, who are responsible for the execution of the entrance allowance and who are decisionmakers regarding the access to the campus.
It may occur that we involve third parties (e. g. external consultants). As far as we do so, these third parties commit themselves towards the responsible party - prior to their involvement – to handle the data responsibly and in compliance with the provisions of the GDPR, the FDPA as well as other applicable law (BetrVG [Works Constitution Act], SchwerbG [Disabilities Act] etc.).
In addition, the following applies to trainees: As part of the application process and the administration of future trainee agreements, personal information is transmitted to the ASTA Info Center of the Industrie- und Handelskammer (IHK) Darmstadt in preparation for the conclusion of the contract. The following applies to dual students: As part of the administration of the dual study contract, personnel-related information is transmitted to the respective departmental administrations of the universities. 
We partly take advantage of various contractors in order to have fulfilled our contractual and legal duties. You may request a list of our contractors and service providers, we are currently in regular business relation with, at our staff department data protection.


6. Rights of data subjects
Via e-mail address betroffenenrechte@gsi.de you may demand information about the personal data stored about you. Under certain conditions, you may demand the correction or deletion of your data. You may also have the right to a restricted processing of your data as well as to receive a copy of the data provided by you in a structured, commonly used and machine-readable format. A deletion of your data initiated by you before the conducted event will result in the termination of your entrance to the campus and - as a result - there won’t be any further information about the procedure. Upon conclusion of an employment the rights for data deletion or restriction of processing will be reduced.


7. Complaints
In case of any complaints, you may contact our data protection officer specified above or a data protection supervisory authority.


8. Data storage
We delete your personal data as soon as it is no longer needed for the purposes specified above. In this case, 24 hours after the event.


9. Data transfer
In case that we transmit personal data to service providers or affiliated companies outside the European Economic Area (EEA), this will only be done insofar the EU Commission has approved the third state’s appropriate data protection level or with other appropriate data protection guarantees (e. g. binding intra-corporate data protection provisions or EU Standard Contractual Clauses) given.

10. Obligation for data provision
In the course of the entering the campus of FAR/GSI GmbH and accessing the FAIR construction site, you have to provide the personal data necessary for the establishment of nationality for the collection of which we are legally obliged.


11. Profiling
We do not process your data automated. There won’t be any profiling.


12. Right of objection (Art. 21 DSGVO)
For reasons arising from your particular situation, you are at any time entitled to lodge an objection against the processing of your personal data, done on basis of Art. 6 (1) (f) GDPR (data processing on basis of a "balancing of interests"); this may also apply to a profiling based on this provision within the meaning of Art. 4 (4) GDPR.You can send your objection in writing and in a free form to GSI Helmholtzzentrum für Schwerionenforschung GmbH
