Final Circular

Dear colleague,

We are looking forward to welcome you to the 15th international conference on heavy ion accelerator technology, HIAT 2022, next week. This final circular collects some last minute information and instructions. Please also have a look on the up-to-date timetable.

The conference takes place in the Welcome Hotel in Darmstadt. All session will be plenary, coffee breaks and lunch are provided as part of the conference package – in the evenings you are on your own. Monday, Tuesday, Thursday and Friday the sessions start at 9 am. Wednesday is a somewhat different day and starts with a bus transfer from the hotel to GSI at 8:45. The Wednesday morning sessions will be on site of GSI/FAIR preceded by a bus tour around the FAIR construction site. After the morning sessions we will have lunch in the canteen (a voucher will be provided) before the bus leaves for our excursion at 2:30 pm. We will return after the excursion (and conference dinner) by about 9:30 pm to the hotel. One of the two buses will eventually return to GSI.

Remote participation is possible and we will use Zoom to provide the possibility to listen to talks, present your own talk and ask questions. The link will be distributed on Sunday to all participants with verified payment. Please contact us at hiat2022@gsi.de if you did not receive a link by Sunday night 10 pm (CEST).

For those of you who arrive on Sunday, registration opens at 6 pm (until 8 pm) and we will have a reception with drinks and snacks during this time. Registration is also possible on Monday starting at 8 am (without drinks though).

If you have a talk, please upload it to the JACoW webpage by adding material to your abstract latest in the break before your session. A detailed how-to is here. For technical support contact us at hiat2022@gsi.de or find a member of the local organizing team during the conference.

If you bring a poster, please note that the poster walls will be up during all the conference. Make sure to put your poster up before the poster session on Tuesday afternoon, 4 pm, and remove your poster before the end of the conference on Friday, noon. If you want to make the posters also accessible to the online conference participants, please upload a pdf of the poster to your JACoW abstract material. A detailed how-to is here.

In the name of the team behind this conference organization I wish you an interesting and successful conference!

With best regards,

Frank Herfurth.

ps.: There is no general restrictions or rules in place any more when it comes to the COVID-19 pandemic. However, locally, there are some times masks required (for instance when you pick up your meal in the GSI canteen).
